How Our Build Process Works

At ChillFire Saunas, we believe in clarity, craftsmanship, and care from day one. Here's exactly what you can expect when working with us:

1. Initial Call → Ballpark Quote

We start with a simple conversation.

What we do:

  • Learn about your space, goals, and ideal sauna experience.

  • Provide a ballpark range to help you decide if we’re aligned on budget.

What the ballpark assumes:

  • No major changes to plumbing, electrical, or structural components.

  • Site is accessible and doesn't require heavy prep or demolition.

Note: This is not a formal bid—just a realistic range to get us moving in the right direction.

2. Site Visit (~$150) → Written Estimate

If the ballpark sounds good, we schedule a professional site visit.

What’s included:

  • A walkthrough of your space.

  • Discussion of possible layout options and material preferences.

  • Identification of any site-specific challenges.

  • An overview of past projects we’ve done to align on style and budget.

We then send you a written estimate, which is designed to fall within 20% of your final build cost, assuming the project scope doesn't change significantly.

3. Estimate → Custom Design Proposal (If Required)

For custom projects or complete wellness spaces, if you approve the estimate, we move into the design phase.

What you receive:

  • 3d rendered design options tailored to your space, aesthetic, and lifestyle.

  • Recommendations of materials, layout, heater type, and key design elements.

  • Scope of work and timeline outline.

  • This involves a design fee that is usually 7.5% of the site visit estimated cost.

4. Final Build Quote → Deposit and Schedule

The design process results in a build quote, which is your final price. Once everything looks right, we collect a deposit for materials and put you on our build schedule. Most kits are done in under a week, and custom units with 3-8 weeks depending on the scope and scale.

We outline clear terms, including:

  • Payment schedule.

  • Scope of work.

  • What’s included—and what’s not.

While we work to minimize surprises, final costs are still subject to change due to:

We'll communicate any changes before work proceeds.

5. Construction → Handoff and Ongoing Support

The week before your build, we will be in touch to align on our arrival window and anticipated timeline based on weather and other conditions. Our expert team will build your setup, and leave you with a ready to use wellness space. As a part of the experience, we will introduce you to your setup, explaining the basics of caring for everything as well as maintenance and use guidelines. We will leave you with a packet of information to get you started, and are just a call away if anything comes up.
